Reservations Coordinator -- Impression 5 Science Center

Position Summary: Provide exceptional customer service to all guests reserving for school or group visits, birthday parties, events, rentals, and educational programming.

Primary Responsibilities: This list may not be all-inclusive, and duties may be added, deleted, or modified at any time. 1. Coordinate, process, and confirm group reservations for school and group visits to the science center, including scheduling workshops and lunches. 2. Coordinate reservations for birthday parties. 3. Process and manage reservations for LABS and other educational programs. 4. Coordinate individual reservations for special events and after-hour rentals, acting as organizational liaison for renter. 5. Update and maintain the organizational calendar within established guidelines regarding facility and staff availability, keeping an up-to-date master copy. 6. Maintain organizational contact spreadsheets and program rosters. 7. Coordinate with Accounting Department to administer the scholarship program. 8. Upsell memberships, workshops, demonstrations, classes, etc. at every opportunity. 9. Prepare weekly visitor/programs hourly schedule for staff and conduct weekly scheduling meeting. 10. Follow up with groups who have not scheduled visits according to their historical pattern.

Desired Experience and Skills: Knowledge and skills typically acquired through two or more years of experience and/or coursework focused on customer service, scheduling, or hospitality are preferred. Candidate must provide a friendly, professional, and positive contact for customers at all times. Must have the ability to use a multi-line telephone, computer with Windows-based software (word processing and spreadsheets), fax, and copier is required. Must be able to communicate effectively and professionally in both oral and written form via phone, email, and face to face. Must be able to understand and follow scheduling guidelines. Must be incredibility detail-oriented and able to prioritize multiple, overlapping tasks while maintaining a pleasant, customer-focused attitude.
